Specifying plywood for office furniture? Commercial duty cycles, fire-rated grades, batch matching across identical units, and what to write into a tender.

Office furniture fails differently from home furniture, and the difference is not that offices are harsher — it is that offices are repetitive. Forty identical workstations mean forty chances for the same specification error, and any inconsistency between them reads as a defect rather than as character.

That changes what you specify for, and it changes what you write into the order.

The fire question comes first

Before anything else, establish whether the project requires FR grade — fire-retardant plywood certified to IS:5509, treated with chemicals that slow ignition and limit flame spread.

FR is typically specified for hotels, hospitals, schools, public buildings and larger commercial premises. Whether it applies to your project depends on building type, occupancy, storey height and the applicable regulations, including the National Building Code and any conditions attached by the local fire authority.

Confirm this with your architect, the fire consultant and the authority — not with a supplier and not with this article. Where a code requires FR, no amount of BWP or Marine grade substitutes; they solve an entirely different problem.

Filing and document storage deserves particular attention: paper is dense, and shelves specified for a domestic load will bow within a year.

The requirement nobody writes down

In a house, slight shade variation between two sheets is invisible because they end up in different rooms. In an office, forty identical units stand in a row under uniform lighting, and variation reads as a defect.

Three things to build into the order:

  1. Order the full quantity in one lot. The single most effective step.
  2. Get it in writing that the sheets come from one production run.
  3. Hold a 5–10% contingency. A repeat order weeks later may not match — and matching is the whole reason for holding stock.

The same argument applies to thickness. A calibrated board — ground to one uniform thickness across the full sheet — is what keeps a run of identical doors and drawer fronts showing the same reveal. Hitting the programme

Commercial fit-outs are lost on dates more often than on materials, and cutting is the slowest, dustiest part of the job.

Pre-cut supply — panels nested across each sheet, cut on a factory panel saw and delivered stacked and labelled to a cutting list — changes three things:

  • Material wastage falls, because parts are nested rather than cut one at a time from the nearest sheet.
  • Site time falls substantially. No cutting station, less dust, fewer people.
  • Repeat parts come out identical, which is exactly what forty matching workstations require.

It demands more discipline at the design stage, because a mis-measured part becomes a re-order rather than a re-cut. On a repetitive fit-out that trade is usually worth making.

What to put in the order. A commercial order should specify more than a home order:

  • Grade and IS standard per element
  • Thickness per element
  • Sheet size or the cutting list
  • Single production batch requirement
  • Treatment against borers and termites, and the method
  • Test certification required with delivery
  • Fire certification where FR is specified
  • Contingency quantity to be held
  • Delivery schedule tied to the programme
  • Storage requirement on site — flat, off the floor, covered

Establishing which certificates the project needs at tender stage rather than at handover avoids the most common commercial supply dispute.

Institutional and hospitality projects. Schools, hostels, clinics and hotels add two further considerations.

Duty cycle is higher still. Furniture in a hostel or a school takes handling that office furniture does not. Specify at the top of the thickness range and pay attention to how hardware is fixed — screw holding depends on a void-free core.

Replacement matching matters for years. Institutions replace damaged units piecemeal over a long life. Recording the exact specification — grade, standard, thickness, supplier, batch — in the handover documentation makes a matching replacement possible in year six.
